Email SOP

1. A new email service has been made available to AWT users from 1 July 2015. To streamline its use following SOP has been drawn. At present all old email addresses has been migrated along with their old email records to facilitate users. New email addresses for newly inducted employees will be created upon official request of the Department/BU concerned. Accordingly email addresses if required will be deleted on request of the Deptt/BU. Following information will be provided :-"

  1. Full Name
  2. Designation
  3. Department
  4. BU/HO
  5. Contact info (Official Phone no with extension and Cell no)
  6. Any additional information by user (e.g. Date of Birth etc. available in settings)

2. All new email addresses will be formulated on a standard format to create symmetry with following convention. However, old email addresses being used by AWT users will remain unchanged irrespective of the new format to ensure user convenience and link their old email records :-

3. Email must be used for official correspondence only.

4. Official email must not be subscribed on any personal/social web sites. User will be responsible for spamming from social media sites in case of all such subscription on Internet.

5. 5 GB Mailbox has been made available to all users against previous 300 MB.

6. An attachment of up to 50 MB files can be sent in one email. However, one file size cannot increase more than 35 MB implying that in any one email, a total of 50 MB files can be attached but one file size cannot exceed 35 MB.

7. In case an email address is not logged in for 40 days it will be blocked. To re activate concerned Deptt/BU will send a reactivation request in writing. However, after 60 days it will be deleted automatically.

8. Please regularly delete your unwanted emails particularly with heavy attachments. In case your mail box is full (5 GB), system will generate notification at 90% of mailbox usage. Also keep check on your mailbox usage status (See red arrow in figure to check), you can also download your emails through backup by using Microsoft Outlook. 9. In case you are unable to view your newly arrived Inbox emails, please press check email Button given on the top left corner of the Main page as indicated by black arrow below.

10. Users must change default password on first Login. In case of any difficulty please contact MIS Deptt (Phone 9272384, 032152143).
